Inbound Calls

What happens when a candidate calls your screening number back.

Candidates don’t have to wait for CONFIRM to reach them. If they miss a call or see a voicemail, they can call your screening number back at any time — the AI agent answers and handles the conversation based on where the candidate is in the process.

How the agent routes a caller

When a call comes in, the agent identifies the candidate by their phone number and adapts:

  • Not yet screened — the agent screens them on the spot, running the same greeting, questions, and knockout evaluation as an outbound call.
  • Screening was interrupted — if a previous screening was cut off (dropped call, candidate had to go), the agent acknowledges that and resumes rather than starting over.
  • Already passed or interview scheduled — the agent assists with next steps, such as scheduling, instead of re-screening.
  • Application closed — candidates whose application has already concluded (failed screening, hired, rejected, and similar) get a brief, polite message that their application is on file with your team. They are not re-screened.

Callers whose number isn’t on file are still answered and handled politely.

Candidates are matched by the phone number they call from. If a candidate calls from a different number than the one on their profile, the agent may not recognize them.

What you see in the portal

  • Calls tab — inbound calls appear in the candidate’s call history alongside outbound ones, labeled as Inbound Call or Callback (a callback is a return call after a missed attempt or voicemail), with the recording and transcript like any other call.
  • Automatic cleanup — when a candidate calls back after a voicemail, any pending “we tried to reach you” follow-up messages are cancelled automatically, so they don’t get a stale text after already completing their screening.
  • Stage updates — if the inbound call completes a screening, the outcome updates the candidate’s stage and results exactly as an outbound screening would. See Reviewing Results.

The Pending Callbacks filter

Sometimes a candidate asks to be called back at a specific time, and the agent schedules it. To see who’s in that state:

  1. Go to the Candidates page.
  2. Open the filters and toggle the Pending Callbacks quick filter.

The list narrows to candidates with a scheduled callback. CONFIRM places the call automatically when the time arrives; the candidate’s Overview tab shows the scheduled time with a cancel option in the meantime.
