The Hiring Pipeline

Choose the steps a candidate goes through after screening, and what happens when they pass.

Every job has its own hiring pipeline: the sequence of steps a candidate moves through after the AI screening call. You build it on the Pipeline step when you create a job, and see it later in the job console’s Pipeline section.

How a pipeline is laid out

A pipeline always starts with Confirm AI Screening (the AI agent screens candidates) and always ends with Hire Decision (hire, reject, or withdraw). These two are fixed. Everything between them, under Your process, is yours to add, reorder, or remove.

Step types

StepWhat it does to a candidate
Interview roundBooks the candidate, then waits for your decision. Scheduling and the interview are one step. Each round is Virtual or In person; in-person rounds need an address.
ReviewHolds the candidate until someone on your team decides.
AssessmentSends the candidate an assessment and waits for the result. Set the Assessment link in the step’s settings.
Background checkHolds the candidate until the check clears. Offered only when your organization uses CONFIRM Background Checks, both when you set up a job and when you edit a live pipeline.
Intro video gateThe candidate watches a short video and replies to continue. Offered only when an intro video has been set up for your organization.

Interview rounds are numbered in order — Interview — Round 1, Interview — Round 2, and so on — and renumber automatically when you add, move, or remove one. Interview length and availability aren’t set on the pipeline; they live on the job’s Schedule settings.

If you don’t see Background check or Intro video gate, contact your CONFIRM account team to turn them on. When your organization uses CONFIRM Background Checks, new jobs get a background check step just before the hire decision automatically.

Building a pipeline during job setup

  1. Hover between two steps and click Add a step.
  2. Pick a step type. For an interview round, choose Virtual or In person (and the address for in person).
  3. Drag a step by its handle to move it.
  4. Interview rounds and assessments have settings: click the step’s settings (gear) icon to change an interview’s format and location, or an assessment’s link. The settings also let you change what the step is — pick a different type at the bottom.
  5. To take a step out, click Remove on its row.

A summary at the top, What this pipeline does, updates as you edit and describes what happens to a candidate who passes screening. It only says the AI agent offers to schedule the interview on the call when your organization has live booking turned on; otherwise it says the candidate gets a link by text and email to book the interview.

What happens when a candidate passes screening

The first step after screening decides it:

  • First step is a Review — the candidate waits for someone on your team to approve them before anything else happens.
  • First step is an interview round — the candidate goes straight to interview scheduling and gets a booking link by text and email.
  • First step is an assessment, background check, or intro video — the candidate goes straight to that step.
  • No steps — the candidate goes straight to your hire decision.

Some organizations also have live booking turned on, where the AI agent offers to book the interview while the candidate is still on the screening call, with the booking link as a backup. If you’d like that, contact your CONFIRM account team.

Candidates who fail a knockout

A candidate who fails a knockout question doesn’t move forward automatically. If the pipeline contains a Review step, the candidate goes to the first Review step so your team makes the call. If there’s no Review step, the candidate is rejected. See Knockout Criteria.

Changing the pipeline on a live job

Once a job is active, people are moving through its pipeline, so changes have consequences. What you can do depends on your organization:

  • Live pipeline editing not turned on — the Pipeline section shows This pipeline is set for this job. Its steps were fixed when the job went live; to run a different process, create a new job. To turn on live editing, contact your CONFIRM account team.
  • Live pipeline editing turned on — you edit the pipeline in place, using the same controls as during setup, with a few differences described below.

Editing a live pipeline

Each step shows how many candidates are on it right now. Above your process, After the screening call offers two choices: Wait for my approval (adds a Review as the first step) or Send passing candidates on (removes it), with a line explaining where passing candidates go next.

  • Add a step — added steps are collected as unsaved changes rather than applied immediately.
  • Close step — on a live job you don’t delete a step, you close it to new candidates. Anyone already on it finishes the step they started.
  • Move a step — CONFIRM shows who the move affects; click Move step to confirm.
  • Change a step’s settings — such as an interview round’s location or an assessment link; collected as unsaved changes.
  • Change what a step is — replaces the step with a different type. The current step closes and the new one takes its place; anyone on it finishes the step they started.

Unsaved changes appear in a bar at the bottom of the pipeline (click Undo on a single change, or Discard to drop them all). Click Save N changes to review them: the dialog lists each change in order with a Who this affects summary — who hasn’t reached that point yet and will go through it, who is on it now and will finish it, and who is already past it. All changes are saved together or not at all.

Closing a step never pulls a candidate out mid-step. If you need to move a specific candidate, do it from their profile.
