Inbox

One place to read and answer every SMS and email conversation with your candidates.

The Inbox collects all candidate conversations — SMS and email — into a single list, sorted by most recent activity. Open it from Inbox in the sidebar.

The conversation list

Each item in the list represents one conversation with a candidate and shows:

Channel iconA chat bubble for SMS conversations, an envelope for email.
PreviewThe most recent message, truncated to one line.
Unread badgeA blue pill with the number of unread messages, shown only when there are any.
TimestampRelative time of the last message (“2m ago”, “1h ago”, “2d ago”).

The list refreshes automatically about every 10 seconds, so new candidate replies appear without reloading the page.

Two filter pills at the top of the page control what you see:

  • Unread — only conversations with messages you haven’t read yet. When everything is read, the page shows “All caught up” with a link to view all conversations.
  • All — every conversation, read or not.

Use the Search candidates… box to narrow the list by candidate name.

Reading and replying

Click a conversation to open it. This takes you to that candidate’s profile with the Messages tab open on the matching channel, where the full thread is shown:

  • SMS threads appear as a chat view: your messages on the right, the candidate’s on the left, grouped under date separators (“Today”, “Yesterday”). Outbound messages show a delivery status — sent, delivered, queued, or failed. Reply in the Type a message… box; a counter below it tracks characters and SMS segments as you type.
  • Email threads show each email as a card with sender, subject, and body. Click an inbound email’s Reply button to answer in the same thread (the subject is pre-filled with “Re: …”), or Compose to start a new email.

Replies always go out on the conversation’s own channel — an SMS thread is answered by SMS, an email thread by email. If you want to switch channels, use the channel tabs at the top of the Messages tab. See Messaging candidates for the full set of ways to send messages.

If a candidate has opted out of SMS, the thread shows an SMS Opted Out notice and you can’t send them further texts.

Where replies come from

Candidates reply to any message your organization sends — manual messages, automated notifications, and interview confirmations alike. All of their replies land in the Inbox and on the candidate’s Messages tab, so you never need to check an external mailbox or phone to follow up.

Empty states

  • No conversations yet — your organization hasn’t exchanged any messages with candidates.
  • All caught up — the Unread filter is on and nothing is unread.
  • No matching conversations — your search didn’t match any candidate names; try a different term.
