Calendar & Email Integration

Connect Google Workspace or Microsoft 365 so interviews land on real calendars and emails send from your own address.

Interview scheduling and candidate email both run on connected workspace accounts. One sign-in connects email sending (Gmail or Outlook) and calendar access (Google Calendar or Microsoft Calendar, with Meet or Teams links) at the same time.

Connecting an account

Go to Settings → Integrations. You’ll see a card for Google Workspace and one for Microsoft 365.

Connect

Click the connect button on the provider you use and sign in with the account that should host interviews and send candidate email. You’re returned to the portal when authorization completes.

Check the capability chips

Each connected account shows what it can do: Active email sender or Email connected, and Calendar host. If a capability is missing, use the Re-connect to grant option to authorize it.

Add more accounts

Use Connect another account to connect additional teammates. Every connected account becomes available as an interviewer and as a possible owner of interview events; per provider, one account is the active email sender (change it with Make active sender).

Disconnecting and reconnecting

  • Remove an account with the delete button on its row. Interviews can no longer be booked on that calendar.
  • If an account’s authorization expires or is revoked, its row shows Reconnect required and the last error; click Reconnect to restore it. Scheduling dialogs also surface this and prompt the calendar’s owner to reconnect.

Letting teammates connect their own calendars

Team members who interview candidates don’t need portal access to get events on their calendar. They can receive a calendar-connection invitation link by email; the link opens a page with Connect Google Calendar and Connect Outlook Calendar buttons — no portal login needed, and CONFIRM only requests permission to create and manage interview events. Once connected, scheduled interviews appear on their calendar like any other event.

How availability drives offered slots

When a candidate self-schedules or the AI agent offers times, the slots come from the job’s scheduling configuration filtered by real calendar availability:

  1. The job’s Schedule section (in the Job Console) defines when interviews can happen — working hours or hand-picked weekly slots, interview duration, minimum lead time, breaks, and blocked dates and holidays.
  2. Connected calendars for the slot’s interviewers are checked, and times that conflict with existing events are removed.
  3. The remaining slots are what the candidate (or the agent) can book.

Job Console Schedule section status

The Schedule section on each job also shows how calendar hosting is set up:

  • Calendar event owner controls whose calendar each interview event lives on. By default it’s the first attendee on the booked slot; you can instead pick a specific user, or host every interview on a shared organization calendar.
  • Users without a connected calendar are labeled, and if no shared calendar is connected the section points you to Settings → Integrations to connect one.
  • A status banner indicates whether candidates are auto-scheduled after passing screening or held for review first, based on the job’s pipeline configuration.

With a calendar connected, you’re ready to schedule interviews.
