Status Reference

Every candidate status, what it means, and where it sits in the pipeline.

Every candidate has exactly one status at a time — the badge you see on the candidate list and profile. This page is the complete dictionary: look up any status to see what it means and what to do next. For how candidates move between statuses (automatic and manual transitions), see Pipeline Stages.

How to read a status

Each status rolls up to one of three types:

  • Active — the candidate is on the main path toward a hire, and either CONFIRM or your team is moving them forward.
  • Side-step — a temporary detour (a reschedule, a no-show, or a pause that needs your input). The candidate rejoins the main flow once you act.
  • Terminal — the process has ended for this candidate (hired, rejected, or otherwise closed).

Some statuses below appear with a round number (for example, Awaiting Interview · Round 2). Those only show up in multi-step pipelines — see Multi-step pipelines at the bottom. In a simple single-step pipeline you’ll only see the base names.

When a candidate withdraws on their own, the badge reads Withdrew instead of Rejected — same status, different outcome label, so you can tell “we passed” from “they passed.”

Multi-step pipelines: round-numbered statuses

Most jobs run a single screening-to-hire flow. Some run a multi-step pipeline — for example screening → evaluation → interview → second interview → hire, or a flow with an extra background check or recruiter-review step. In those pipelines, each repeating step is numbered so you always know which round a candidate is in.

How the round numbers work. Round 1 is the first time a step runs, Round 2 the second, and so on. A candidate in a two-interview pipeline who clears their first interview moves from Past Interview · Round 1 to Awaiting Interview Scheduling · Round 2. The terminal statuses (Hired, Rejected, Do Not Contact, and so on) are never numbered — there’s only one ending.

Round-numbered statuses roll up to the core statuses above everywhere it matters: dashboard tiles, the screening funnel, metrics, exports, and the status filter. A candidate in Awaiting External Evaluation · Round 2 is counted and filtered exactly like one in Pending Evaluation — so a two-round pipeline and a one-round pipeline report the same shape.

Filtering and reporting by status

The status filter on the Candidates page groups statuses into the five funnel phases — Applied, Contacted, Screened, Interview, Decided — so you can filter without memorizing every name; round-numbered statuses fall into the right group automatically.
