Upload documents the AI agent uses to answer candidate questions during screening calls.

Candidates ask questions on screening calls — about benefits, training, schedules, what the job is really like. The knowledge base gives the AI agent your real answers. Upload documents to a job, and when a candidate asks something the agent searches them and responds with your actual information instead of deflecting.

You manage a job’s documents in the job console’s Knowledge Base section (you can also add documents during job creation, on the Screening Questions step).

Uploading documents

  1. Open the job and go to Knowledge Base.
  2. Click Upload Document and choose a file.
  3. The document is processed and becomes available to the agent for future calls.

Supported file types: PDF, TXT, DOC, DOCX, MD, CSV, and JSON, up to 10 MB per file.

Managing documents

Each uploaded document is listed with its file type, name, size, and upload date.

  • View content — click the eye icon to preview what the agent will read from the document.
  • Delete — click the trash icon and confirm. The document is removed from the agent’s knowledge base immediately for all future calls.

What makes good knowledge base content

The agent answers best from focused, factual documents:

  • Benefits summaries — health coverage, PTO, retirement, perks
  • FAQ sheets — the questions candidates actually ask, with your approved answers
  • Company culture and “about us” documents
  • Role logistics — training programs, typical schedules, dress code, parking

Split large documents into focused, topic-specific files — a separate “Benefits Overview,” “Training Program,” and “Company Culture” beats one long handbook. Smaller, well-titled documents help the agent find the right answer quickly mid-call.

A few things to avoid:

  • Don’t upload anything you wouldn’t want repeated to a candidate verbatim — the agent treats the content as approved answers.
  • Keep documents current; outdated pay or benefits info will be relayed as fact.
  • Skip internal-only material (margins, internal policies, other candidates’ data).

The agent uses the knowledge base to respond to candidate questions — it won’t recite document content unprompted.

Job-level vs. organization-level

Documents uploaded here apply to this job only and feed the job’s company knowledge profile. There is also an organization-wide knowledge base under Settings → Knowledge Base: documents uploaded there are shared across your jobs, and each job inherits that company-wide profile. Use the org-level knowledge base for information that’s true everywhere (benefits, company history) and job-level documents for role-specific details.
