Scheduling Interviews
Book interviews from a candidate’s profile, let candidates self-schedule, or let the AI agent handle it.
CONFIRM gives you three ways to get an interview on the calendar: book it yourself from the candidate’s profile, send the candidate a self-scheduling link, or let the AI agent schedule during or after the screening call. However it’s booked, the candidate lands in the Interview Scheduled stage and is notified automatically.
Booking from the candidate’s profile
Open a candidate and choose Book Interview. From there you can either send a booking link or schedule a specific time yourself.
Send a booking link
Send booking link texts the candidate a link to pick their own time from your available slots (you can customize the message before it goes out, and copy the link to share another way if the SMS can’t be delivered). When the candidate books, the interview is created on the calendar and they move to Interview Scheduled.
Schedule a specific time
To book the time yourself, open the scheduling dialog and fill in:
Date, time, and duration
Pick the date and start time, and choose a duration (15 minutes up to 90 minutes, depending on context).
Format and location
Choose Virtual or In person. Virtual interviews booked with a calendar invite get a meeting link generated automatically; in-person interviews take a location (for example, “123 Main St, Conference Room B”).
Attendees
Choose whose calendar hosts the event and which teammates are invited. Team members without a connected calendar are flagged — see Calendar & email integration.
You can also check Have AI agent call to schedule — the agent phones the candidate, finds a time that works, and books it automatically.
What the candidate receives
- A calendar invite by email, including the meeting link (virtual) or address (in person) and any note you added.
- An optional confirmation SMS with the interview details.
- Any automatic confirmations and reminders configured under Templates & automation — for example a reminder 24 hours before the interview.
AI scheduling during screening
When scheduling is enabled for a job, the AI agent can offer interview times to candidates who pass screening — during the call itself or in follow-up messages — and book the slot directly. The available times come from the job’s Scheduling tab in the Job Console: working hours or hand-picked weekly slots, interview duration, minimum lead time, blocked dates and holidays, and the interviewer pool. Connected calendars are checked so candidates are only offered times that are actually free — see Calendar & email integration.
Keeping track of interviews
- Dashboard → Upcoming Interviews lists what’s ahead, grouped by day (“Today”, “Tomorrow”, …), with each row showing the time, candidate, job, and a status badge — Confirmed, or Reschedule when the candidate has asked to move the time. Switch to the calendar view for a month at a glance, and click any row to jump to the candidate.
- On the Candidates page, the Interview timing filter narrows the list to candidates whose interview is Overdue, Today, Tomorrow, This Week, or Next Week.
- The Interview Scheduled stage badge on each candidate row shows who has a booked interview at a glance.
If plans change, see Reschedules & no-shows.
