Messaging Candidates

Send SMS and email to candidates one at a time or in bulk, and track every reply.

You can message a candidate from three places: an existing Inbox conversation, the candidate’s profile, or the candidate list (in bulk). Every message and reply is recorded on the candidate’s Messages tab and surfaces in the Inbox.

Choosing a channel

Candidates who have opted out of SMS can’t be texted — the composer is disabled and bulk sends skip them automatically.

From a candidate’s profile

Open a candidate and choose Send Message (or go to the Messages tab). Switch between the SMS and Email channel tabs at the top.

  • SMS — type in the Type a message… box and send. A live counter shows characters and SMS segments so you know how long your text is. Delivery status (sent, delivered, failed) appears on each outbound message.
  • Email — click Compose (or Reply on an inbound email). The composer shows the To and From addresses, a Subject field, and a rich-text body. When starting a new email you can pick a saved Template instead of writing from scratch.

If your email account isn’t connected yet, the Email tab prompts you to set it up under Settings.

From the Inbox

Open any conversation in the Inbox and reply in the thread. Replies use the conversation’s existing channel.

Bulk messaging from the candidate list

Select candidates on the Candidates page (individually, the whole page, or all matching your filters), then use Send Email or Send SMS in the bulk actions toolbar.

Pick template or custom

Choose Use Template to send a saved template, or Custom Message to write the subject (email only) and body inline.

Personalize with variables

Variables like {{first_name}}, {{last_name}}, {{job_title}}, and {{company_name}} are replaced with each candidate’s data, so every recipient gets a personalized message.

Review who will receive it

The dialog warns about candidates who will be skipped — missing email address or phone number, opted out of SMS, or marked do-not-contact — and summarizes how many of your selected candidates will actually receive the message.

Send

Click Send to X Candidates. Sending runs in the background and you’re notified when it completes.

Where replies go

Candidate replies — whether to a one-off message, a bulk send, or an automated notification — land in two places:

  • The Inbox, where unread replies are flagged and filterable.
  • The candidate’s Messages tab, in the full conversation thread.
