Reschedules & No-Shows

Handle candidates who ask to move their interview time and candidates who don't show up.

Booked interviews don’t always happen as planned. CONFIRM tracks two situations with dedicated stages: Reschedule Requested, when the candidate asks to move the time, and No Show, when they miss the interview. Both are side-steps — the candidate stays in your pipeline until you decide what happens next.

Reschedule Requested

When a scheduled candidate asks to move their interview — for example by replying to a confirmation or telling the AI agent — they move to the Reschedule Requested stage. You’ll spot them in two places:

  • The candidate’s stage badge reads Reschedule Requested.
  • On the Dashboard’s Upcoming Interviews card, their row shows a red Reschedule badge instead of Confirmed.

Acting on a reschedule request

Open the candidate and click Reschedule. The dialog (“Pick a new date and time. The candidate will be notified.”) gives you two options:

  • Pick the new time yourself — choose the date, start time, and format (virtual or in person; the format carries over from the original interview). The calendar event is updated and the candidate is notified of the new time.
  • Have AI agent call to reschedule — the agent phones the candidate, agrees on a new time, and rebooks automatically.

Once rebooked, the candidate returns to Interview Scheduled.

If the interview shouldn’t happen at all, use Cancel Interview instead — the calendar event is removed and the candidate is notified — or Reject the candidate with an outcome.

Marking a no-show

When a candidate misses their interview, open them and choose the No-Show action. The “Mark as no-show” dialog asks what should happen next:

Keep in pipeline (the default) moves the candidate to the No Show stage so you can offer another chance. Reject candidate marks the no-show and then moves them to Rejected, cancelling the interview.

Add context (optional)

Record a note — for example, “called twice, no response”.

Offer a reschedule (optional)

If you’re keeping them in the pipeline, toggle Send reschedule SMS to text the candidate an invitation to rebook. The message is pre-filled from your organization’s default copy and you can edit it for this candidate before sending; the org-wide default lives in Settings → Communications.

Confirm

The button reflects your choices: Mark no-show, Mark no-show & send SMS, or Mark no-show & reject.

Rebooking after a no-show

Candidates in the No Show stage keep the Reschedule action, so booking a new interview works exactly like handling a reschedule request — pick a new time yourself or let the AI agent call them. When a new time is booked, the candidate moves back to Interview Scheduled and receives the usual confirmation.

If the candidate never re-engages, you can Reject them with an outcome at any point.
