Scheduling Settings

Set your organization's default interview hours and how many times a candidate can reschedule.

Settings → Scheduling holds two organization-wide interview policies: the working hours every new job starts with, and an optional limit on candidate reschedules. Only admins can change them. Other roles who open the page see “Scheduling policy is admin-only”.

This page doesn’t connect calendars. To connect the calendar interviews book onto, go to Settings → Connect Email & Calendar. See Calendar & Email Integration.

Default working hours

The Default working hours card sets the interview window each new job starts with, so you don’t set it every time.

1

Set the days and hours

Turn each day on or off and set its start and end time. Click Add break on a day to block out time such as lunch. Weekdays 9–5 fills in a standard week.

2

Save

Click Save default. You need at least one open day.

Things to know:

  • The default only applies to jobs you create after saving. Jobs that already exist don’t change.
  • Any job can still use its own hours in its Schedule section.
  • To copy one job’s hours to your other open jobs, use Also apply to all other open jobs when you save that job’s Schedule section. See Scheduling Interviews.
  • With no default saved, new jobs get the standard Monday–Friday 9–5 window. Once you’ve saved one, Reset to 9–5 returns to it.

Lead time, interview length, interviewers, and blocked dates and holidays are set per job, not here.

Reschedule limit

The Reschedule limit card lets you automatically reject candidates who reschedule their interview too many times. It’s off by default; the card then says “Candidates can currently reschedule without restriction.”

1

Turn it on

Switch on Reschedule limit.

2

Set the number

Enter Allowed reschedules, from 1 to 10, and click Save.

How it works:

  • Only reschedules the candidate makes count, such as picking a new time from their booking link or replying to a text to reschedule.
  • Reschedules your team makes never count against the candidate.
  • A limit of 2 allows two completed reschedules. The next attempt automatically rejects the candidate.
  • The rejected candidate gets your standard rejection email.

Turn the switch off to remove the limit.
