Bulk Actions

Select many candidates at once and message, move, reject, or organize them in one step.

Bulk actions let you act on dozens — or thousands — of candidates at once from the Candidates page.

Selecting candidates

  • Individual rows — use the checkbox at the start of each row.
  • Whole page — use the checkbox in the column header to select all 20 candidates on the current page.
  • All matching candidates — after selecting the whole page, a banner appears offering Select all N matching candidates. Click it to extend the selection to every candidate matching your current search and filters, across all pages.

As soon as anything is selected, a floating toolbar appears at the bottom of the screen showing how many candidates are selected. Click the X on the toolbar to clear the selection.

Toolbar actions

ActionWhat it does
Change StatusMove all selected candidates to a different workflow stage, with an optional reason.
RejectReject the selected candidates with an outcome. Toggle Candidates withdrew from the position to record a withdrawal instead of a rejection, add an optional reason, and optionally send a rejection email (with a preview and a send delay).
Send EmailCompose one email and send it to every selected candidate.
Send SMSCompose one text message and send it to every selected candidate.
Add to PoolAdd the selected candidates to a talent pool.
DeletePermanently delete the selected candidates and their data. Requires confirmation and cannot be undone.

When you bulk-change status, any automation rules configured for the target stage will trigger — which may send emails or SMS messages to the candidates automatically. The dialog reminds you of this before you confirm.

Asynchronous processing

Large bulk operations run in the background. After you confirm, the action is queued and a toast notification confirms it was started (and, for rejections, how many candidates were affected). The list updates as the operation completes — for very large selections this can take a little while, so there’s no need to keep the page open or repeat the action.

Combine bulk actions with filters and saved views for routine cleanups — for example, filter to a closed job’s remaining active candidates, select all matching, and reject them with a polite email in one pass.
