# Calendar & Email Integration

Interview booking and candidate email both run on connected Google Workspace or Microsoft 365 accounts. One sign-in covers both: email sending (Gmail or Outlook) and calendar access (Google Calendar with Meet links, or Microsoft Calendar with Teams links).

## Connecting your account

Go to **Settings → Connect Email & Calendar**. Admins and recruiters can open this page.

#### Choose your provider

If you haven't connected yet, click **Connect Google Workspace** or **Connect Microsoft 365**.

#### Sign in

Sign in with the account that should send candidate email and host interviews. CONFIRM asks only for what it uses: sending mail as you, and reading and writing interview events on your calendar. When you return, a banner confirms the connection.

#### Check your card

Your account now appears under **Your connection**, with chips that show what it's doing.

### What the chips mean

| Chip | Meaning |
| ---------------------- | --------------------------------------------------------------- |
| **Active sender** | Candidate email goes out from this mailbox. |
| **Email ready** | Connected for email but not the active sender. |
| **Email off** | This account isn't sending email. |
| **Reconnect required** | The connection stopped working. The error is shown on the card. |
| **Default host** | Your organization's default calendar for interview booking. |
| **Calendar ready** | Calendar connected and available for interviews. |
| **Calendar off** | No calendar connected on this account. |

If an account has only one half connected, the card says so, for example that it sends email but interviews can't be booked on it.

### Actions on an account

* **Make active sender**: send candidate email from this mailbox.
* **Remove sender**: stop sending email from it. Interview scheduling on the account isn't affected.
* **Make default interview calendar**: make this calendar your organization's default for interviews.
* **Disconnect calendar**: stop using this calendar for interviews. If it's the default, booking stops until another calendar is made the default.
* **Re-authorize** or **Reconnect**: sign in again, for example after a password change.
* **Connect another account**: add another Google or Microsoft account.

If no calendar in your organization is set as the default, your card warns that candidates can't book and lets you use your calendar to fix it.

### For admins: organization accounts

Admins also see two summary lines at the top, **Candidate email sends from** and **Interviews book onto**, and an **Organization accounts** list with every other teammate's connection. Admins can manage those accounts with the same actions. Recruiters see only their own connection.

### "Need admin approval" with Microsoft

Many companies require an IT administrator to approve CONFIRM once before employees can connect Microsoft 365. If you see "Need admin approval", click **Get IT admin approval link**, copy the link, and send it to your IT admin. After they approve, everyone can connect without the prompt.

## Teammates who only interview

People who interview candidates but don't need the portal can still have interviews land on their calendar. Invite them from **Settings → Team Members** with the **Calendar only** role. They get an email with a link to a page with **Connect Google Calendar** and **Connect Outlook Calendar**. No portal account is needed, and CONFIRM only asks to create and manage interview events. See [Team & Roles](/settings/team-and-roles).

## Choosing a calendar for a job

By default, interviews are booked on your organization's default calendar. To host one job's interviews on someone else's calendar, open the job's **Schedule** section in the [Job Console](/jobs/job-console) and pick a person under **Interview calendar**. Only people with a connected calendar can be chosen. **Bookings go to:** shows the account interviews will actually land on, and warns you if that calendar needs reconnecting.

## How available times are worked out

When a candidate books from a link, or you use **Book now**, the times offered come from:

1. The job's schedule: working hours (or custom time slots), interview length, lead time, buffers, and blocked dates and holidays.
2. Your interviewers' calendars. Times when a **Required** interviewer is busy are removed. **Optional** interviewers don't block times.

See [Scheduling Interviews](/interviews/scheduling-interviews#job-schedule-settings) for each setting.
